Your life, health and safety are more important to us than the money your collecting. We highly recommend using digital payment services to process your fundraising or ticketing collections. Our website has many systems in place to collect funds safely. However, if your event or fundraiser will collect cash donations from the public, please do so in an area with adequate CCTV surveillance, lighting and lots of public footfall.
If your fundraiser is an event where your collecting cash for tickets or raffles, please use a secure cash box which has a sufficient locking mechanism, don’t leave the cashbox exposed on the table or worktop and always have someone accompanying you when counting or transporting the final collection to the bank.
Should you find yourself being confronted by a thief, don’t play hero even if you’re a pro MMA fighter, just hand over the money, stay aware of your surroundings, walk away if you can, find a place of safety. Take a deep breath and dial 999, report what happened to the police. Once you safely get home, call us and our team will support you throughout.
Planning on entertaining guests with an elaborate show, inviting performers or a DJ to the centre stage for a lit night of live or recorded music, prefer a more theatrical approach or giving fans an action-packed sporting event such as a tennis or boxing match, you may need a license.
Check now if your event needs a public entertainment license on the governments gov.uk website, if it turns out you need one, apply for a Temporary Events Notice via your local authority.
The Food Standards Agency has full guidance and requirements which govern the way food is prepared and served to the general public. As a basic rule of thumb follow the 4C’s of food hygiene to prevent the most common food safety problems which are as follows:
Ensure that the venue you choose has a practical kitchen which can safely store food before serving or if your using a caterer, check with your local authority their food hygiene rating before committing to an order.
If you want to show off your talent in the kitchen, your free to do so. As long as you can safely store and transport the food to your fundraiser.
If you intend to serve alcohol at your fundraiser, you may need a license. Its always best practice to host your event on a licensed premises that has sufficient security measures in place and the experience in trading and serving alcohol to the general public.
Remember, your event your responsibility. Whichever venue you choose to host your fundraiser always ensure that you have run adequate checks and mitigated any risks, take a common sense approach and check for fire, water, electrical, security and any other safety risks, notify the owner of the venue. How to complete a thorough risk assessment can be found on the HSE website.
Make sure that any alterations or safety recommendations are completed before your fundraising venue opens to the general public, if the venue owner refuses to address the health and safety issues, do not commit to the event to avoid injury to yourself or staff and guests.
Before agreeing to a venue, ask the landlord or venue owner if they have insurance, some venues may charge an additional fee for insurance.
You may consider contacting a local insurance broker, for a specialist one-day policy which covers your venue, staff, volunteers and the public. Insurance is important, it protects you against any claims by third parties for injury or property damage as a result of negligence.
Sadly, Basch Helps CIC cannot extend their insurance cover beyond our own workplace, staff, volunteers and events, therefore please do not contact us for coverage.
Basch Helps CIC cannot accept liability for any loss, damage or injury suffered by yourself or anyone else taking part in a fundraiser organised in support of Basch Helps CIC.
Depending on the location and size of your fundraiser, it may be wise to provision having a certified first aid administrator on hand or setting up a first-aid tent equipped with handling mild symptoms and injuries.
If you need assistance in planning your first aid facility check the information available on the St John’s Ambulance website, they maybe able to attend your event and provide first-aid support.
Any incident that occurs on the day should be managed properly, we recommend providing each first-aid responder to log incidents in a report which should be handed you as soon as reasonably possible.
Information on the report should include the person’s name, age, the nature of the incident, steps taken and should include the first aid responders name.
If your going to invite participants under the age of 18, it is important to make special considerations for their safety and wellbeing. Ensure you have undertaken the appropriate checks on all fellow organisers that are going to work with children, unless in a school environment, if possible we recommend promoting the need for parents or guardians to be present throughout the duration of your event.
Fundraising on our behalf is super and we can’t thank you enough, if your planning to promote a fundraiser don’t forget to give us a shout out. Remember to request an official logo and for the purpose of transparency always mention in the headings and texts of tickets, flyers, posters and banners ‘IN AID OF’ or ‘FUNDRAISING FOR’.

As an event organiser eventually you’ll have to start collecting personal information either electronically or in writing. It is important that these documents are kept secret and not exposed out in the open, never share the personal information collected nor attempt to sell it. Once your event has finished and all donations collected, we ask that you safely destroy the personal information at hand by either shredding the paper record or by deleting your excel or word document by placing it in the trash and permanently deleting your computers waste bin.
Any online records held including those that are attached to your personal email should also be permanently deleted.
Any game of chance such as raffles, lotteries and bingos to name a few are fun and attractive ways to raise awareness and vital funds, however you will need to consider that such fundraising activities are governed by strict gambling legislation and may require obtaining a gambling license from your local authority.
For smaller events, we recommend that all prizes to be won must be purchased before the event starts. All raffles must be purchased onsite and can only be sold to participants on the same day of the event. Winners must be announced before the end of the evening and if possible handed their prizes. This will not require a license.
For larger events, where tickets/raffles are sold in advance of the event, even to people not attending the event or by hosting a lottery style game of chance, this will require applying for a license through your local lottery authority, please note you cannot be a commercial organisation when applying.
